We are looking for a confident and enthusiastic administrator to join our busy team providing administrative support to our Disabled Children’s Team within Children’s, Families and Community Health. This role is usually based at the Salt Way Centre in West Swindon, however we are currently working from home the majority of the time.

The team provides support to Practitioners, Team Managers and Service Managers and together we aim to empower and support families in making changes to create a safe and stable environment for their children, both at home, and within the community.

Key elements of this role are:

General administration which includes, typing, letter production, scanning, stock ordering, and opening, scanning and recording the post and reports received by email;

Answering and transferring incoming phone calls to the team, taking messages where appropriate;

Arranging a variety of meetings, both internal and external, ensuring rooms are booked and relevant parties invited;

Formatting and checking letters/reports prior to circulation (a keen eye for detail is required.)

Data entry of case notes, discussions and decisions on to our local systems;

Making up petty cash payments and coding invoices;

Updating tracking spreadsheets to monitor team performance;

Routinely dealing with sensitive information and maintaining confidentiality at all times;

Taking meeting minutes and distributing minutes post meeting.

    The successful applicant will need to demonstrate excellent ICT skills, including specific use of Microsoft Packages, customer service and communication (written and verbal) skills, the ability to prioritise and multitask, be able to work independently and as part of a team and an understanding of confidentially.
